Privacy Policy

Invoice Mate ("we", "us") provides invoicing software for Australian small businesses. This policy explains what personal information we collect, why, who we share it with, and the choices you have. We handle personal information in line with the Privacy Act 1988 (Cth) and the Australian Privacy Principles.

1. Whose information this covers

Our customers are the business owners who create an account. Your customers are the people and businesses you invoice. When you put your customers' details into Invoice Mate, you are the one who decides why and how that information is used. We only handle it to run the service for you.

2. What we collect

Account details: your email address and a password (stored only as a secure hash), or your Google sign-in identity if you use Google.
Business details: business name, ABN/ACN, address, phone, email, logo and bank details you choose to show on invoices.
Records you create: customers (name, ABN, contact person, email, phone, WhatsApp number, address, notes), products and services, quotes, invoices, payments and reports.
Connected email: if you connect Gmail or Outlook, we store the access needed to send invoices from your account. We ask only for permission to send email, never to read your inbox. We keep a log of the emails sent through the service.
Technical information: basic logs (such as IP address, browser and time of requests) used to keep the service secure and working, and cookies needed to keep you signed in.

We do not knowingly collect information from children under 18, and the service is not intended for them.

3. Why we use it

To provide the service: creating and sending invoices and quotes, recording payments, producing reports and sharing them with your accountant when you ask.
To secure accounts, prevent misuse and fix problems.
To contact you about your account, including sign-in codes, password resets and important service notices.
To meet legal obligations.

We do not sell personal information. We do not use it for advertising, and we do not use advertising cookies.

4. Who we share it with

We use trusted service providers to run Invoice Mate. They may only use information to provide their service to us:

Supabase (database and sign-in). Our database is hosted in Sydney, Australia.
Vercel (application hosting). Their servers may be located outside Australia.
Google and Microsoft, only if you choose to sign in with Google or connect Gmail or Outlook to send email.
Payment providers, once online billing opens, to process subscription payments. We will not see your full card details.

Invoice links, accountant report links and WhatsApp messages are shared only when you choose to send them. WhatsApp messages are opened in your own WhatsApp; we do not send them for you. Anyone with a link you share can see what it shows until it expires or is turned off.

Some providers store or process information outside Australia. Where that happens we take reasonable steps to make sure your information is handled in line with the Australian Privacy Principles.

5. Security and storage

Data is encrypted in transit, each business can only reach its own records, and connected email credentials are stored encrypted. No system is perfectly secure, so please use a strong, unique password and keep it private.

6. How long we keep it

We keep your information while your account is open. You can ask us to delete your account and we will do so, except where we must keep something to meet a legal obligation (for example financial records) or to resolve a dispute. Businesses in Australia are generally required to keep tax records for five years, so please export what you need before closing an account.

7. Your rights

You can ask to see the personal information we hold about you, and to correct it. You can also ask us to delete it. Most of it you can view and edit yourself in the app. If you are one of a business's customers and want to see or correct your details, please contact that business first.

8. Cookies

We use cookies to keep you signed in and to protect your account. We do not use advertising or tracking cookies. You can block cookies in your browser, but you will not be able to sign in.

9. Complaints

If you have a privacy concern, contact us first and we will respond promptly. If you are not satisfied, you can complain to the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au.

10. Changes

We may update this policy from time to time. The date at the top shows when it last changed. For significant changes we will tell you in the app or by email.
