Invoices and quotes
What is the difference between an invoice and a quote?
A quote is an offer with a price, sent before the work starts. An invoice is the request for payment. In Invoice Mate you can turn an accepted quote into an invoice in one click, so nothing is retyped.
Can I add my logo and business details?
Yes. Add your business name, ABN, logo and bank details once in Settings and they appear on every invoice and quote.
Can I download an invoice as a PDF?
Yes. Every invoice and quote can be downloaded as a PDF or sent straight to your customer.
Can I see which invoices are paid, due or overdue?
Yes. The dashboard and invoice list show what is paid, what is still due and what has gone overdue.
GST and tax
Does it handle GST?
Yes. Mark each line as GST 10%, GST-free or no GST and Invoice Mate calculates the tax and the totals for you.
Will my ABN show on invoices?
Yes. Your ABN is printed on your invoices, so they carry the details a tax invoice needs.
Does Invoice Mate lodge my BAS?
No. It does not lodge anything with the ATO. It keeps your GST figures organised and lets you send reports to your accountant, who can prepare and lodge your BAS.
Getting paid
How do my customers pay?
Each invoice shows your BSB, account number and a payment reference, so your customer can pay by bank transfer. They can also open a secure link to view the invoice and download it as a PDF. Online card payments from that link are coming soon.
What happens when a customer pays?
Record the payment against the invoice and its status updates to partly paid or paid, so you always know where you stand.
Can a customer pay part of an invoice?
Yes. Partial payments are recorded and the remaining balance stays due.
WhatsApp and email
Can I send invoices over WhatsApp?
Yes. You can send an invoice or a reminder over WhatsApp, where customers are more likely to see it than in a crowded inbox.
Can I send payment reminders?
Yes. Send a friendly reminder by email or WhatsApp when an invoice is due or overdue.
Your accountant
How do I share my books with my accountant?
Choose a financial year, quarter or month, then send the report through a secure link. The link expires, and your accountant does not need an account.
Customers and products
Can I save my customers and the things I sell?
Yes. Keep a customer list and a list of your products and services, then pick from them when you create an invoice. It turns a new invoice into a minute's work.
Account and pricing
Do I need to install anything?
No. Invoice Mate runs in your browser on desktop, tablet or phone.
How does pricing work?
Choose a monthly, quarterly or yearly plan. The longer plans cost less per month. See the pricing section on the home page for the current prices. Online billing is opening soon, and you can start invoicing today.
